We are a growing CPA firm seeking a dependable and experienced Payroll and Bookkeeping Specialist to join our team. This position may be structured as either part-time or full-time, depending on the candidate’s experience and availability.
The ideal candidate is organized, detail-oriented, comfortable working with multiple clients, and knowledgeable about payroll processing, bookkeeping, and California payroll requirements.
Responsibilities
Process weekly, biweekly, semimonthly, and monthly payrolls for multiple clients
Review employee hours, wages, deductions, reimbursements, and payroll changes
Prepare and file federal and state payroll tax returns
Process payroll tax deposits accurately and on time
Prepare quarterly Forms 941, DE 9, and DE 9C
Prepare annual Forms W-2, W-3, 940, and 1099
Handle new-hire reporting and employee payroll setup
Assist clients with payroll questions and notices from the IRS or EDD
Maintain accurate payroll records and meet all filing deadlines
Assist with workers’ compensation audits and payroll reconciliations
Perform monthly bookkeeping for multiple business clients
Record and categorize bank and credit card transactions
Reconcile bank, credit card, loan, and payroll accounts
Review general ledger activity for accuracy
Prepare basic profit and loss statements and balance sheets
Assist with accounts payable and accounts receivable
Identify missing information and follow up with clients
Assist with year-end bookkeeping cleanup and preparation for tax returns
Communicate professionally with clients and government agencies
Qualifications
Previous payroll processing and bookkeeping experience is strongly preferred
Knowledge of federal and California payroll laws and filing requirements
Experience with QuickBooks Desktop, QuickBooks Online, and payroll software
Strong understanding of bank reconciliations and general ledger accounting
Ability to prepare and review basic financial reports
Strong attention to detail and ability to work with confidential information
Excellent organizational, communication, and follow-up skills
Ability to manage multiple clients and deadlines
Experience working in a CPA, accounting, bookkeeping, or payroll firm is a plus
