We are seeking an Export Logistics/Order Processor/Documentation Specialist to join our team. This specialist will work closely with the production manager and broker to coordinate the production and shipment of goods. Additionally, this role involves coordinating with freight forwarders and managing all required export documentation.
Position Responsibilities:
- Prepare & Maintain Reports
o Shipment Schedule
o Crop Inventory
o USDA Almond Incoming
- Process sales contracts
o Enter contract details onto the shipment schedule
o Ensure orders are shipped within the contracted time frame
o Coordinate with the production staff to address and fulfill packaging and marking requirements
- Process lab samples
o Ensure all samples are received for the corresponding order
o Ensure sample bags are labeled accurately
o Ensure sufficient product is pulled for corresponding analysis
o Complete laboratory analysis request
- Prepare shipment documentation
o Prepare Phytosanitary Certificate
o Coordinate the pickup and delivery of empty/full containers to/from the Port of Oakland
o Prepare shipping documents according to buyer’s specific instructions and standards
o Submit final shipment details to freight forwarder for Ocean Bill of Lading/ Custom Documents
o Process documentation amendment requests
- Prepare invoices
- Dispatch original documents in a timely manner to avoid demurrage and detention fees
- Respond to emails pertaining to contracts, shipment schedule, documentation in a timely and efficient manner
- Assist with general office duties as needed and assigned by the Office Manager
Qualifications:
- High School Diploma or GED required
- Strong attention to detail and organizational skills
- Ability to multitask, follow-up and work in a fast-paced environment
- Excellent computer skills
- Familiarity with shipping terms
- Experience working in the agricultural industry a plus
- Experience working with export documentation
